Client Services Specialist
Cruz Law, LLC, is a fast-growing, boutique, Anchorage-based law firm with a thriving estate planning law practice. We provide exceptional service in the foundational estate planning areas of revocable living trusts, wills, kid’s protection plans, and incapacity planning. We are looking for a Client Services Specialist (CSS) who is a bright, focused, and compassionate person with solid customer service experience who can convey the value of our services to potential clients, and who can help create memorable client experiences, eliminate stress and hesitation, and assist in providing our clients with genuine peace of mind. We need someone who maintains grace under pressure, and who is great working individually or in a team setting. The firm provides advancement opportunities.
Position Description: Assists attorneys and staff by greeting estate planning clients and prospects, scheduling meetings, assembling estate planning documents, and other administrative tasks. The CSS embodies top notch client care through a combination of empathy, communication skills (verbal and written), and technical knowledge. The ideal candidate presents a professional appearance and friendly personality, is organized and reliable, pays attention to detail, values hard work, and can multi-task.
Job Type: In-Office Full-Time (Monday – Friday, 8:30 a.m. – 5:00 p.m., ½ hour lunch)
General Duties
Office: greet clients and provide refreshments, maintain breakroom, process daily mail, prepare conference rooms for meetings, maintain/order office supplies.
Administrative: manage calendars, update tracking reports, prepare various documents, prepare/organize estate planning binders, manage electronic files, assist other office staff when needed.
Communication: engage with clients/prospects to gather information and schedule appointments, screen/filter out unqualified leads, manage initial client intake process.
Requirements
- 2 years’ experience in an office-based customer service environment (law firm experience preferred)
- Proficiency in MS Word and Excel, familiarity with using web- and cloud-based software programs, and an interest in learning new technology
- Familiarity with CRM systems is necessary (Clio is a plus)
- Polite attitude and pleasant phone manner
- Strong multitasking skills and ability to work in a fast-paced environment.
- High attention to detail, accurate grammar, and excellent verbal and written communication skills
- Positive mindset and a solution-oriented approach.
- Ability to prioritize and maintain client confidentiality at all times
Compensation: $20 - $25 DOE
